UX design process for a new task manager

Herein, I go through the process we followed to create a task manager application for the next release of the eyeOS Cloud operating system.

Phase 1: Ideation

The process started with a kick-off meeting with the CEO where we discussed the need of a to-do app inside our OS, allowing users to collaborate in projects. He showed me some examples and gave me some general guidelines: drop-down application, always available, quick, small screen footprint, easy to use, immediate, able to make collaboration and productivity enjoyable.

Phase 2: Analysis

Since the task manager market is pretty saturated I needed to find our edge after benchmarking the competition. I decided to focus the app on features that are both feasible and unique to our platform. The possibility of real time collaboration and the integration with existing features was important. We already offer an environment that allows users to collaborate by using shared folders, group chat, shared calendars etc.
A new task manager app needs to integrate well with the existing workflow. After various use case scenarios here is the one I based my analysis on: User A wants to assign a task to user B and wants to be notified upon task completion.
Based on this scenario I wrote down a condensed script and extracted the possible features the application might need.
<img src="http://payload11.cargocollective.com/1/2/87599/2539468/1.jpg" width="640" height="478" width_o="640" height_o="478" src_o="http://payload11.cargocollective.com/1/2/87599/2539468/1_o.jpg" data-mid="12820595" border="0" align="left"/><img src="http://payload11.cargocollective.com/1/2/87599/2539468/2.jpg" width="640" height="478" width_o="640" height_o="478" src_o="http://payload11.cargocollective.com/1/2/87599/2539468/2_o.jpg" data-mid="12820596" border="0" align="left"/>
I then broke it down into actions:
<img src="http://payload11.cargocollective.com/1/2/87599/2539468/4.jpg" width="478" height="640" width_o="478" height_o="640" src_o="http://payload11.cargocollective.com/1/2/87599/2539468/4_o.jpg" data-mid="12820598" border="0" align="left"/><img src="http://payload11.cargocollective.com/1/2/87599/2539468/3.jpg" width="478" height="640" width_o="478" height_o="640" src_o="http://payload11.cargocollective.com/1/2/87599/2539468/3_o.jpg" data-mid="12820597" border="0" align="left"/>
After logically grouping the possible actions, I started prioritizing features. Knowing that everything will not be possible to be implemented in a first release, I wanted to extract the must have features.

Unfortunately it was impossible, due to time constraints to run preliminary user tests or focus groups to get input on user needs.

Phase 3: Discussion

Having a clearer view of the potential application we discussed with the CEO the must-have features, how he perceives the competition and what can wait for a future release. Then we had a meeting with the development manager to discuss the feasibility of the app, how we would tackle integration issues, plan the necessary development time and discuss the information architecture as well the changes necessary to the rest of the OS that would allow for the user experience I had in mind.

Phase 4: Mockups

After the discussions I started making multiple mockups that would help me envision the look and functionalities of the to-to application.
The following are various versions I made, experimenting with the layout and location of features as well with the interaction possibilities. Starting with a a whiteboard, continuing on paper and pen, Balsamiq mockups and Adobe Fireworks. I tend to do many iterations of mockups, since it is an inexpensive and quick way to evaluate design possibilities before jumping into wireframing.

I presented some of the ideas that came out from the above mockups to the stakeholders and we discussed the layout and necessary features. We decided to make it a drop down application which has a single column layout and two main views: projects and task details. We also discussed necessary additions to eyeOS, like real time notifications for tasks, user permissions, the role of "projects" inside the OS and possible modifications of the information architecture.

Phase 5: Wireframes

Taking into account the discussions with the stakeholders I moved to the phase of wireframing using Adobe Fireworks.

Phase 6: Documentation

<img src="http://payload11.cargocollective.com/1/2/87599/2539468/25.jpg" width="640" height="390" width_o="640" height_o="390" src_o="http://payload11.cargocollective.com/1/2/87599/2539468/25_o.jpg" data-mid="12820921" border="0" align="left"/>
Due to time constraints there was a need to quickly prepare the documentation so that the developers can start working on the to-to app even before the final designs were finished. We use an internal wiki to document everything. My job is to specify the features, interactions, roles and layout. This documentation which includes the wireframes as well, is then passed to the development team. Having a close relation with the developers there is direct communication in case of questions from their part or clarifications from mine. Parallel to the documentation process our interface designer starts giving the final look, to the application (after a short brief). Our design team which includes UX and Interface design works very closely and often there is real time communication in case of clarifications for a design or when decision choices need to be made. Even though we have quite a democratic process for application design, I try to push the UX agenda over slicker design in case of dilemmas that can influence the way the user interacts with the application

Phase 7: Design

Our interface designer, Polina Flegontovna, uses Adobe Fireworks as well, so that we can have an optimal workflow. Starting with my wireframe files, she builds over them creating the final look of the application. During the design process we discuss and find solutions when difficult cases are detected. Our goal is to deliver both the user experience and a fantastic look and feel.
When completed, the final designs are uploaded to the wiki as well as specified, so that our front-end developers can reproduce it.

Phase 8: Development

I have a close relationship with our developers. I tend to do follow up meetings making sure that we are on the same page regarding the end user experience. Constant contact avoids silos, provides solutions in case of technical difficulties or misinterpretation of designs. We try to find solutions together in case of unpredictable issues.

Phase 9: Final result

I am really proud of this first version of the app. We started from scratch and we managed to have fully functional, usable and cool looking app.

Future steps

We have planned after the release to run usability tests to evaluate the level of integration of the to-do application with the current, global user experience in eyeOS. More precisely we will do a heuristic evaluation using both single user and collaborative scenarios. We want to assess, usability, collaboration and performance. My next steps are to create user scenarios and questionnaires, decide which parts of the applications we need to test and find participants that fit our target group.

Thank you for taking the time to read the process I followed to create the UX of the to-do application for eyeOS.

I have been DJing since 2000 and parallel to my music passion I find quite interesting the evolution of DJ technology.
This interest lead to the proposal of this touchscreen mixer concept during my HCI course. I did a paper prototype and then an interactive prototype to assess the usability of such a system.
The concept was taking an existing 2 channel mixer and adding a touch screen, an audio interface and a hardrive.
My goal was to propose an integral solution that would implement the features of modern Digital Vinyl Systems, while providing an intuitive, non obstructing touch interface. This device would be stand-alone and the DJ would not need a computer to mix.
Although this project was just a concept, I would love to see it realized into a final product.

I participated in Media Lab Prado's interactive game workshop in Madrid. I collaborated with friends to create
Pingus, an augmented reality game. I was in charge of the sound design for the game.

Piplex is an augmented reality video game where players can solve puzzles using plasticine and cardboard. It has been developed over the PLEX framework, a natural user interface for physical interaction. As a family-friendly experience, Piplex combines individual and collaborative performance, entertainment and learning content, and has been tested in different research fields such as Human Computer Interaction, education and video game technology.
Piplex is a project of Plastic Interaction, a studio based on Barcelona, Spain.

Design of a museum installation inspired by the concept of Gatekeeping in Media for the Education, Games and Entertainment course.
Our goal was to demonstrate the ephemeral nature of news and how they come to the spotlight.
The interaction concept was based on the location of the visitors. Visitors would explore the stories that were displayed on the floor of the installation in form of floating images, that constantly change. The images would be delivered in real time from Reuters and other sources.
When many visitors were looking at the same floor projected image, then it gained importance and was displayed on the main vertical screen.
Carried out with Pål Hernes Fiva and Silvia Alcaraz.

During the development process of my friend Silvia Alcaraz's master thesis project I suggested to implement sound markers to facilitate interaction. Silvia entrusted me to make the sound design for her interactive game. Having in mind that it is a multiplayer experience, with many events at the same time, I tried to use sounds only when needed. The result was a more immersive experience and clearer feedback on the game's goals.

The Nanotechnology interactive installation was commissioned by Fundació “la Caixa” and CosmoCaixa Museum and exhibited at the International Conference on Interaction Design (Barcelona, June 2010)

Purely sonic interactive experience

This was a project I took part during my master studies for the Sound Communication course. The soundscape generator is an interactive game without a Graphical User Interface. The user listens to sounds and selects the appropriate ones to compose a soundscape by clapping.
I focused on the sound design.

The Soundscape Generator is:

a) a little decision game to create soundscapes*
b) a purely sonic interactive experience
c)an application exploring soundscape structure
d)a CSIM student project for Sound Communication
e)all of the above

brought to you by Camilla Venezuela, Cătălin Codrean, Eliza-Nefeli Tsaoussis and Jason Rados.

How to play:
1- Clap your hands
2- Listen to the first sound carefully: it is the background of your soundscape
3- Choose from the 2nd set of sounds which one fits your background by clapping
4- Choose the third sound that best fits the soundscape
5- Listen to the soundscape that you crafted and how good you've performed!

Study of the Tangible Jukebox on the Reactable framework

My master thesis was a study of the Tangible Jukebox, a Reactable application for making collaborative playlists.

I designed and ran usability tests to improve the existing research project.
Upon suggesting improvements for the system I designed and executed a research experiment, to assess the benefits of Tangible over Multitouch interaction regarding collaboration, performance and usability.

The thesis was for the Interdisciplinary Master in Cognitive Systems and Interactive Media at the Pompeu Fabra University.

My supervisor was Dani Gallardo the creator of the Tangible Jukebox and my thesis coordinator was Sergi Jorda.

Thesis Abstract:
The present work focuses on the Tangible Jukebox, a tabletop multi-touch tangible interface. The system allows users to manipulate physical objects in order to create and manage digital music playlists collaboratively. The Tangible Jukebox proposes novel ways of interaction with digital music.
Research in the field of TUI has focused on delivering innovative prototypes but has given less quantitative results compared to other fields, often opting instead for qualitative methods of research. This research focuses on the system from both qualitative and quantitative methods. The objective is to improve the user experience via usability tests and to assess, measure, and understand how users perform tasks on a TUI or a Multitouch only system.
We present our usability findings and improvements. Furthermore we describe and demonstrate our experiment which was designed to compare a Tangible User Interface and a Multitouch only version of the system regarding: performance, ease of use, collaboration, ergonomic and hedonic qualities as well as appeal in the context of playlist creation and management. Finally we demonstrate and discuss our results.

Since the iPad's release I thought it would make a great control surface for DJ's. This idea had started from my touchscreen mixer concept.
When the CoreMiDi API was released I decided to make the app by collaborating with Miguel Sanchez (Developer) and Pablo Lopez (Graphic Designer). Our goal was to create the most intuitive, easy to use DJ controller that worked wirelessly through MIDI.

MiDi-to is designed to minimize interaction between the DJ and his computer, while bringing back his focus to the turntables and mixer.

Our performance centered controller app was released on the iPad app store in December 2010 and has been reviewed positively for it's ease of use and hands-on experience.

I was in charge of the concept, interaction design, testing and promotion.
